Businesses find it very easy to communicate with the advent of email. Few however realize the hazards attached to an abusive use of email service. Every email written must be well written in terms of its grammar and spell check. Its subject line should be catchy enough to grab the attention of the receiver. A carelessly scribed subject would not grab the notice of the receiver. A well thought out thing in writing email subject is the realization of other person’s time. This age of connectivity has connected the people too well. So don’t expect to be the only one sending an email to the receiver. Other sensed empathy for the receiver is the email itself. Writing a well regarded email is not difficult, only if you assume what qualities you wish to see in emails your receive.

Avoid writing unnecessarily long sentences. They don’t only waste the receiver’s time but also arise confusion of the theme behind the email. Following long sentences often results into confusion and utterly loosing control over the though process following. Be precise and use sentences with appropriate number of words. Never think of being perfect in communication. When you have the facility why shouldn’t you avail that? Always use the spell checker by the email service provider to ensure your email should be taken seriously. If in case you don’t have a spell checker integrated into your email service, then try using a word processor like Microsoft Word. A well spelled email will ensure that the receiver doesn’t doubt your command on language and takes your email seriously. Only spell checking an email won’t be enough to have the right results from the email. Proof reading is must. No matter how much confident you are about your emailing ability. Proof reading does two jobs for you. One is avoiding clumsy construction of sentences. Second is the overall meaning you intend your email to convey. Reading will let you know what you meant to convey and how effectively your email did that.

Dealing with difficult employees as a manager

Often people complain that their boss is not good. He takes them for granted. He doesn’t appreciate their true efforts. He has no heart and is only a number crunching robot. He doesn’t care about their emotions at all and he doesn’t know how to treat human beings. Well that is a story we all have heard about. What about other side of the flip? Have you ever been a boss yourself? If you were one, then you definitely know that it is not an easy task to be one. Being boss means taking responsibility. That is taking the responsibility of your actions alone but as well as of those whom you can only influence, but they will do the things they want to do. During this tug of war, many problems arise and get solved by the boss on a daily basis. However, there are problems that need extra skills to get them done out of your way. These problems are usually unique in nature and vary from case to case. These problems arise due to the difficult to handle employees. No company can go into the job market and pick out perfect employees. It is extremely difficult to find the right kind of guy for each job.

There will be situations when being boss you will have to deal with an extremely tough nut to crack. At this time you would wish, that you are not the boss. People have always been in this situation and will always be. The need is to understand that you shouldn’t be too aggressive while dealing with these employees. If such a situation arises where you have to deal with someone really difficult, then the first rule of thumb is to never confront straight with that employee. Second important thing is to try to get information on the situation from as many sources as possible. Try to make a neutral picture of the whole scenario. Once you are able to conclude what happened, then call in the employees involved in the conflict turn by turn. Ask each of them what happened individually. Try to convince the more normal being that the company knows that he’s right, and he doesn’t have to worry. At the same time, the problem maker should be warned in a diplomatic way, so the distress of the company on the event should also be conveyed in a lighter manner. If you have a problem making employee, other employees should be directly or indirectly conveyed about the condition of that employee. Last very important thing is that the boss or any other employee should never try to over react over a problem arising due to the problematic employee. A silence and patience in itself will deliver a greater lesson to the employee.

How to manage negotiations and conflicts at workplace

It’s good to have diversity in your workforce where different types of people can bring different advantages to your company. But this diversity often results into difference of opinions between two employees or two different departments. Conflicts are a part of working environment and as a manager you don’t need to panic in such situations. You cannot eliminate the disagreements altogether; all you can do is to manage them in a way that it won’t affect your productivity levels. The sooner you deal with them, the better it is for your business; otherwise the conflicts will give way to negative behavior and lack of team efforts, and as a result low productivity.
Possible Causes:
Whenever you get to the bottom of any conflict, you will find the same old cause lying in the roots, and that’s poor (or the lack of) communication. Different types of personality clashes and characteristics are another common problem. Unfair handlings, unmerited promotions, lack of opportunities or any other thing that results into insecurity among employees can also lead to the conflicts. If the work expectations or production targets are too hard to achieve, the workers will get frustrated, outcome might be bullying or regular exchange of harsh words between workers.
What to do:
As a manager who is looking to resolve conflict, you should start with communicating with all parties involved. Be calm, and listen to the whole thing patiently. Encourage everyone to speak their heart out, especially those who are less conversational. When thinking of a solution, try to focus on the problem and not personalities. Keep your personal prejudice away from the decision-making. Be sincere to both parties when taking corrective measures. One thing you should do even before some conflict arise is to eliminate favoritism of any type.

Precautions:
Employees and workers should be well aware of their job descriptions and what the management expects out of them. The rewarding system should be clear and well communicated. Joint decision making at all levels will reduce negative feelings to a great extent. Keep an eye at bullying types, and never let anyone get away with any kind of harassment or discrimination. Try to avoid personality clashes as much as possible, when making teams. If you have this feeling that two persons can’t work together, change the individuals if possible. Interact with all employees every now and then and never rely completely on your sources for the input.
